What administrators ask before committing an institution to a new system.

Campustrue is priced per student per month, so a 200-pupil school is not billed like a university and the cost only moves when your enrolment does. It is billed on a minimum of 100 students and exclusive of GST, and the rate depends on your enrolment and which modules you switch on — admissions, attendance, fees and examinations, or the fuller set with library, hostel, transport and communication. Data migration is part of onboarding rather than a separate line, and we quote against a written scope so nothing appears as an extra later.

About five weeks: one week mapping your current process, one week configuring roles, fee heads, grading schemes and branded documents, one week migrating and reconciling existing student and staff records, one week training staff with a parallel run, then go-live. We set up your first term with you — data import, roles, timetable — and stay reachable by phone afterwards. Institutions usually time the cutover to the start of a term.

Yes, and it is included in onboarding at no extra charge. We audit the data first, because most migrations stumble on duplicates, inconsistent formats and half-complete records rather than on the transfer itself. Students, staff, roles, class structure, fee heads and the timetable are imported into a staging environment and reconciled against your source totals before anything goes live.

Yes. Grading schemes, fee structures, timetable rules and enrolment stages are configured rather than hard-coded, and the academic module carries programmes, electives, credit weightings and credit transfer alongside school-style sections and terms. The same platform serves a CBSE school, a state-board institution, a degree college or a university.

Yes. Guardians sign in to their own child's attendance, marks, fee status, timetable and notices, and receive announcements as they go out. It is built mobile-first, because that is the only device most parents will ever open it on, and SMS covers the guardians who do not use the app at all.

Yes. Guardians pay by UPI, card or netbanking, every payment reconciles against the fee structure as it lands, receipts and invoices are issued automatically, and reminders go out on your own schedule before a due date. Your office works from a live outstanding list — by class, by fee head and by month — rather than a spreadsheet updated the day after.

Permissions are set per role and per record, down to which fields a role may read. Records are encrypted in storage and on the wire, administrative actions — marks changed, fees waived, permissions granted — are written to an audit log, and backups run on a schedule with point-in-time restore. Consent, retention and access controls are built around India's Digital Personal Data Protection Act, 2023.

Cancellation takes 30 days' notice, and your data stays exportable in full for 90 days afterwards — students, fees, attendance, results and staff records, in PDF, Excel, CSV or Word. There is no lock-in and no exit fee. If you have taken a source licence through Asematic, the deployment and the codebase are already yours and simply continue running.

Library, hostel, transport, inventory, alumni and certificates are already in the product rather than paid additions. Anything genuinely specific to your institution can be built on the same data model, scoped and quoted before it is started, so you approve the cost before any work happens.
